Data Retention Policy
Administration
1.1. The table below, labeled ‘Exhibit A’ contains our retention schedule for the retention and disposal or destruction for Landmark’s electronic records.
1.2. From time to time, this schedule may be modified to ensure compliance with changes in our policies or governing laws.
1.3. All retained information will be used solely for the purposes described in our privacy policy.
2. Suspension of Record Destruction in the Event of Legal Proceedings or Inquiries
2.1. Landmark’s clients acknowledge that it may become necessary to retain data beyond the limits set forth in this Policy.
2.2. Data retention may be prolonged in the event of any ongoing investigation or inquiries from Governmental authorities or to ensure compliance with other legal obligations that may arise.
3. Security of Personal Information
3.1. Landmark will make reasonable technical and organizational precautions to prevent loss, misuse or alteration of data.
3.2. Landmark will store protected health information in databases. Landmark does NOT utilize paper copies of any information containing protected health information data.
3.3. Landmark’s clients should acknowledge that the transmission of information over the internet does carry risk, and while Landmark will do everything in its power to protect information, Landmark cannot not guarantee the security of data sent over the internet. Especially given the number of methods that information is transmitted to Landmark.
3.4. Clients will be responsible for keep secure and confidential their login credentials to access Landmark’s website. Login credentials may not be shared among multiple users. Landmark’s staff will never ask for your password under any circumstances.
4. Destruction of Data
4.1. Unless otherwise noted specifically below, data will be destroyed based on Exhibit A.
4.2. Data containing protected health information and any personal data will be destroyed to industry standards.
4.3. Landmark recognizes the users right to their own data. As such, all data will be deleted upon request of the user.
5. Amendments and Updates to the Policy
5.1. Landmark may update this policy from time to time. Any new and material changes to this policy will be posted on this page.
